Before you book corporate event production

The brief that helps your MC, AV team and venue work from the same plan.

Define what the event needs to achieve

A product launch, awards dinner and internal celebration ask different things of an audience. Start with the purpose, guest profile, venue and the moments that must land well. This gives the production team a clearer basis for recommendations.

Build one running order

List arrivals, walk-ons, speeches, presentations, awards, meals, entertainment and closing remarks. Identify who makes timing decisions, who calls cues and who can authorize changes. Include setup, rehearsal and soundcheck rather than only the guest-facing program.

Map the sound and visual needs

How many speakers will be on stage at once? Are there remote contributors? What needs to be heard or shown in different parts of the room? Share slide decks, playback formats, screen requirements and any brand assets early. Confirm responsibility for testing the final versions.

Ask the venue practical questions

Discuss loading access, elevators, setup and strike windows, power, sound restrictions and existing AV. Ask who can approve equipment placement and what documentation the venue requires. These answers can affect crew, scheduling and cost.

Prepare the host

Give your MC the purpose, audience, names, pronunciations, sponsor language and final running order. Mark what must be said exactly and where natural delivery is welcome. Agree how changes will reach the host during the event.

Agree the production scope

Before booking, check the equipment, crew roles, operating hours, rehearsals and change process. Responsibilities between your internal team, venue, planner and production company should be clear.
